Storing objects into Green File is not limited to scanning paper. We all know that information comes to us in many different forms, and it defeats the purpose of ‘paperless’ if everything has to be printed and then scanned. Additionally, it is more efficient and then instantly accessible to everyone if the creator of a document simply files the object into Green File as soon as they are finished creating the document. To this end, we have created a number of macros for the most common office applications.
We have written simple macros for WordPerfect®, MS Word®, MS Outlook®, and MS Excel® to provide users an easy way to get their documents stored into Green File. Once the user has completed the document (or read the email, or sent the email) a single click on the icon on the toolbar will open up the Green File Save window.
The user needs to fill in 3 pieces of information in order to have the object saved. They first choose who (what member, or employer, or client), then they choose where (which File Cabinet and folder) and then finally the date that the document is effective (create date). Green File automatically determines the file type based on the filename extension. A final click on OK and the object is now safely stored in the database, ready for viewing.
