Imagine the power of looking though all the documents in the database to find the documents where you have discussed a particular topic with your clients or members. Green File can do that for you, in the blink of an eye.
Whether it is a tiff from the scanner, a document from MS Office ®, or a PDF from Adobe ®, all the text from these documents can be Optical Character Recognized (OCR) and the resulting words stored in a separate table in the database.
Each night a job works to examine every new object stored in the database and extract all the text. Once extracted, a search can be performed on the database to find all documents that contain a search phrase.
Using the search function is easy, and the process will be familiar to anyone who has used Google ® to perform a search on the Internet. The results from the search are returned ranked from highest to lowest - the more times the search phrase is found in the document, the higher the ranking. A ‘snippet’ of the text where the search phrase is found is displayed, as well as the name of the owner, the type of document (tiff, doc, pdf etc.) and the index location of the document.
Based on the security clearance of the user, all objects that the user has permission to view will be returned when a search is performed.
When the hyperlink is clicked on, if the document is a tiff, the document will be displayed in the viewing pane on the right side of the screen. The page that the first occurrence of the search phrase is found on will be displayed. If the document is a type other than a tiff, the document will be displayed in its native format.
